Area Agency on Aging – Volunteer Medicare Program Administrative Assistant

Program Summary:

The Medicare Counseling Program of Boulder County Area Agency on Aging serves consumers 65 and over and people with disabilities who are on Medicare, and their caregivers, to help them access the health care to which they qualify. Through education, counseling, problem solving, and advocacy, the program seeks to empower people to better understand how to get optimal health care coverage and assist them when Medicare-related problems arise.

This position improves the capacity and efficiency of the Medicare Counseling team by assisting with various administrative tasks including a special emphasis on accurate data entry and record keeping.

Duties and Responsibilities:
  • Using the case notes created by Medicare counselors, inputs the information into the STARS/ACL database to create a roster of consumer contacts.
  • Alerts Volunteer Coordinator to inadequate documentation for update.
  • Assist with other data gathering, mailing and input projects as requested.
  • File documents per guidelines.
  • Maintain privacy regulations.
  • Complete annual training on elder abuse.
  • Complete Project Visibility training

Qualifications and Requirements:
  • Minimum age 21.
  • Able to pass a criminal background check.
  • ABC’s and 123’s – filing accuracy.
  • Must be able to read and interpret difficult handwriting.
  • Good written and verbal communication skills.
  • Decision-making skills – able to work independently within established guidelines.
  • Understand and follow instructions both written and verbal.
  • Detail-oriented – meticulous accuracy.
  • Computer skills required – proficient with Microsoft Office products, Outlook email, good familiarity with internet searches.
  • Comfortable with utilizing data base systems.
  • SHIP and SMP certification is not required but helpful.

Training Dates and Information:

Volunteer counselors will first pass the criminal background check then work with volunteer coordinator to learn data entry process.

Additional Information:

SUPERVISION:

Volunteer will be assigned a Medicare Counselor mentor. In addition, volunteer will meet quarterly with the Volunteer Coordinator to review their volunteer experiences.
